Add one row per bar mark on this member — a common convention is B1, B2… for bottom bars, T1, T2… for top bars, and L1, L2… for links/stirrups, so each mark on the drawing and on the schedule refers to the same, unambiguous bar. Cutting length, total length and weight are calculated automatically from the shape code.
Example: a simply-supported beam might have B1 (2 straight bottom bars), T1 (2 straight top bars), and L1 (links at 200mm centres) — three bar marks, three rows below.

Steel Procurement
How many full-length stock bars to buy per diameter, and the cutting waste that results — grouped by diameter and by each distinct cutting length within it (bars of the same length pack an exact, calculable number per stock bar). This does not mix different lengths on the same stock bar the way an experienced steel fixer sometimes would, so treat it as a conservative estimate, not a true optimal cutting plan.
Structural Cost Summary
Cost for exactly the BOQ items generated from structural members above (Section 51) — reuses each item's own priced breakdown from Rate Build-Up, so this can never disagree with the BOQ itself.

Formula Database

Activity Database
Construction activity categories used by the app's own calculation engine. "Implemented" categories have a working calculator you can use today; "Not yet implemented" categories are recorded here honestly rather than hidden, so you know exactly what this version does and doesn't cover.

Tender User Roles
Restricts who can issue a tender, approve a step, record an award, archive a tender, or change a closing date. A username with no role set here can still do all of these — nothing changes for anyone until you explicitly assign a more restricted role. Meant for a shared, synced workspace with more than one named user; on a single local device this mostly protects you from your own accidental clicks.

You are the admin. You can create up to 5 engineer accounts and open any engineer's workspace to view or edit it.
Messages stay within your team — nothing here is sent as real email. Engineers can only message their admin; the admin can message any engineer.
About APEX Construction Management Suite
APEX Construction Management Suite is built around one idea: a quantity surveyor's day is spent moving between a dozen different documents — rate build-ups, a bill of quantities, a takeoff drawing, a payment certificate — and most of the errors and lost time happen in the gaps between them. APEX keeps all of it in one place, connected, so a rate you build once flows straight into your BOQ, a measurement you trace on a drawing becomes a real quantity, and a certificate calculates itself from what's actually been agreed.
It's developed by Apex Institute of Engineering and Technology, with a simple goal: give construction professionals — quantity surveyors, engineers, and site teams — tools that are accurate enough to trust, fast enough to actually use under deadline pressure, and transparent enough that every figure can be traced back to the calculation behind it.

Finding Your Way Around
The search bar in the top bar, on every page, finds any page in APEX by name — type a few letters and pick from the results.
A genuine hard refresh — clears cached files and reloads everything fresh from the server, useful if something looks out of date after an update.
Light/Dark/Automatic theme, a choice of colour themes, and the Dashboard's welcome banner colour — all in the Appearance icon in the top bar. Also shows your recent activity.
The mail icon shows a badge when you have unread messages from your team — see Team & Workspaces below for what it's for.

Estimating & Takeoff
Build a unit rate for any activity from its material, labour, plant, overhead and profit components — with full workings kept alongside the final rate.
Generated from your schedule of rates and quantities — export to print, Excel or CSV once it's ready.
Import a drawing (PDF, image, or a DXF exported from AutoCAD), calibrate its scale once, then measure lengths, areas and counts directly off it. Undo/Redo, Highlight, Notes and drawing comparison are all in the toolbar.
Concrete, blockwork, plaster, tiling and more — pick an activity, fill in the form it generates for you, and get a full material breakdown with working shown for every figure.

Both items pull their figures live from whatever's already been traced and saved on the active project, show the full breakdown, and let you edit the total by hand before saving — nothing is locked to the auto-calculated number.
Trench Excavation Volume − (Concrete in Trench + Volume of Block Wall)

If nothing's been traced yet for a formula's source items, it shows a clear warning instead of a silent zero — enter the figure by hand, or trace the source activities first (Trench Excavation, Blinding/Footing Concrete, Blockwork Wall Volume, Topsoil/Pit Excavation — all in Bill 1 above) and reopen the dropdown.
Drawing & Annotation Tools
These live in the same ribbon as the measuring tools, but none of them create a billable takeoff item — they're for marking up, annotating, and cleaning up a drawing. Every one has a matching keyboard shortcut, shown in brackets.

Structural Takeoff — Members, Bar Schedule & Custom Assemblies
A dedicated workspace for reinforced concrete members — beams, columns, footings, slabs, ground beams, retaining walls, and staircases — each with its own bar bending schedule.
Two ways in: from the drawing itself in the Takeoff Workspace — pick Grid Origin, Place Column, Place Beam, Place Footing, Place Wall, Place Slab, Place Lintel, or Place Stair from the Structural tools, click (or click-click for beams/walls/lintels/slabs) where it belongs on the drawing, and the same full member form — Mark, size, grade, cover, and bar schedule — opens right there so it's saved as a real member in one go, no separate trip needed. Or start directly on this page — pick a Member Type, fill in its dimensions (or load a saved template, or arrive here already filled in via "Send to Structural Takeoff" from a General Takeoff trace), give it a Member Mark (convention: B1/B2 for beams, C1/C2 for columns, F1/F2 for footings — whatever scheme matches your drawings), and add its bar schedule.
Grid Origin is optional but worth setting up first if you're placing several members — it's entirely a canvas tool, not something configured on this page: from the Takeoff Workspace, pick Grid Origin, then drag a guide down from the drawing's top edge for each vertical/column grid line (A, B, C…) and in from the left edge for each horizontal/beam grid line (1, 2, 3…). Once set, every member you place afterward automatically records its nearest grid position (e.g. "near C/4") — nothing about the grid itself appears here on Structural Takeoff, only its effect on each member's recorded position.
Add one row per bar mark — a common convention is B1/B2 for bottom bars, T1/T2 for top bars, L1/L2 for links/stirrups. Each row picks a BS8666 shape code (Straight, L-Bar, U-Bar/Stirrup, Cranked, Closed Link, or one of three hooked shapes), shows a small diagram of that shape, and calculates cutting length, total length, and weight automatically — bend deductions use 2× bar diameter per 90° bend, hooks use the standard 9× bar diameter 180° hook allowance.
A single schedule combining every member's bar marks, grouped by member with a subtotal each, plus a project-wide total reinforcement weight. Exports to CSV or print.
For a member type that isn't one of the built-in ones — define your own variables (e.g. "width", "depth"), write a concrete volume formula and an optional formwork area formula in terms of those variables, test it against sample numbers, then save it. It appears in the Member Type list on every project from then on, right alongside the built-in types.
MEP & Civil Takeoff
Two more specialized takeoff pages, alongside General and Structural — MEP for mechanical, electrical and plumbing items (fixtures, pipe/conduit runs, ductwork), Civil for earthworks, pavements, and drainage-scale items (with support for cut/fill volumes using existing and design levels). Each has its own category-based form, a running category summary, and a register with CSV export.
Any General Takeoff trace with a matching unit (Linear, Area, Volume, or Count) can be sent directly to whichever of these its measurement type fits — from that trace's properties panel, look for "Send to MEP Takeoff" or "Send to Civil Takeoff".
Estimation
Turns a quantity into an actual materials list — the Activity Library covers Earthworks, Concrete, Masonry, Roofing, Reinforcement, Structural Steel and more, each using the real construction method for that trade (mix ratios, waste, coverage rates, and so on). Pick an activity in the Calculation Workspace, fill in the form it generates for you, and get a full material breakdown with working shown for every figure.
On a General or Structural Takeoff, select a completed measurement and use "Send to Estimation" — it opens the Calculation Workspace with that quantity ready to use. Pick the matching activity there and the field fills in automatically.
Team & Workspaces, Settings, Billing
Team & Workspaces — the account admin can create up to 5 engineer accounts (username, optional email, temporary password) and open any of their workspaces to view or edit it directly, without needing separate logins per project.
Mail — internal messaging between the admin and their engineers, right inside APEX (never a real email). Engineers can only message their own admin; the admin can message any of their engineers. Either can attach a reference to a specific page and the currently active project, so the recipient can jump straight to what's being discussed. Reachable from the mail icon in the top bar on every page, or from Mail in the sidebar.
Settings — account details, the app's colour theme, and the opt-in AI Assistance toggle (which powers both Takeoff's AI Suggest and the Ask AI chat assistant) with a field for your own Anthropic API key — required for either of those two features to actually respond.
Billing — subscription plan, trial status, and payment history, handled through Paystack.
Contract Administration
Record and price scope changes, and track their approval status separately from the original contract.
Interim, advance/mobilisation, and final certificates — retention, VAT and previous certificates are all calculated for you. Includes a Defects Liability certificate type.
Track contractor claims separately from certificates, with their own status through to resolution.
Final Account reconciles the whole contract sum; Cash Flow plots planned vs. actual (certified) spend over time so you can see variance early.
Procurement & Records
Track purchase orders and supplier records for a project.
The underlying formulas and activity definitions the calculators use — a reference, and where you can see exactly how a figure was reached.

Team & Data
Admins can invite engineers and open their workspaces directly to review or assist with their work.
Settings → Export Backup regularly. Your data lives in this browser — a backup is the only way to move it or recover it if this device is lost.
AI Assistance
A chat assistant reachable from the ✦ button in the corner — grounded in what this app actually does, and able to help with general quantity-surveying questions too. Off by default; turn it on and add your own Anthropic API key in Settings first.
Sends a snapshot of the visible drawing to suggest a count — you always review and accept or reject its suggestion before it touches your takeoff. Same opt-in setting as Ask AI.
Subscription & Billing
Every new account starts with a full-access, no-card-required free trial. Once it ends, choose a plan from Settings → Subscription & Billing — your project data is never touched by a lapsed subscription, only new Professional-tier actions are paused until you renew.
